Tips to Organise your Inbox

Tips and Tricks, not so much for the game but for organising your roleplay.

If you get lots of messages from players to the Dm Team or factional mails, you can actually organise your inbox to folders with parameters set for each. Its also easy to archive posts which you must keep for later reviewal in seperate folders.

As the example below, you Add folder with a name of your choosing, then Add New Rule's for each step of the parameters and the dropbox; If Sender [next], is in usergroup [next], (choose from list of user groups from dropbox), Place into folder -> (your newly made folder) [next]

Simple trick.

Anyone else with more rules and parameters for inbox organisation?

This is nifty!

Maybe I'm not seeing it, but I wish there was a way to set a rule for the group to whom the message is intended. Like... "If the message is sent to Associate Devs, then put into Developer folder." I guess I could make that group my Default group and go that route, but there should be another method.

Still... thanks for posting. I learned something new! :)

Question: Is there a way, maybe I'm not seeing it, to mass move all past messages from a certain person or group?

This is about as automatic you can do it. Manually going past each page.

So! Be forewarned it looks like you can only have 4 user defined folders. I just got the message where adding a folder would be, so setting it up for each lil cult your characters are in is no dice. Unless that number can be changed?

Ask Zanniej! That's what I did for my request. He said he'd be happy to look into changing the rules for folder systems. :)

I'm about 30,000 PMs too late to take advantage of this one to get myself organized. :P But it is a very handy tool! Thanks for making such a snazzy guide, Tantive!

I've changed maximum folders to 10. Should be fine I think, right?

I'm still looking into how to get some additional rules to work, but that is not as easy as changing allowed number of folders ;-)

Kidding, I'm just not going to change everything just because someone needs it. I'm not sure how much resources some things might ask. And we wouldn't want a slower website ;-)

This is pretty much a paste from the userguide about the phpBB forum

Messages can be filtered based on the following fields:
  • Subject - The subject of the message.
  • Sender - The username of the message sender.
  • Message - The content of the message.
  • Message status - Whether a message has been replied to or forwarded.
  • Sent to - Whether the message was sent directly to you or to a usergroup you are a member of.
Several conditions are available for filtering the fields. Not all of the conditions listed below are avaialbe for every field. The following is the full list of conditions available:
  • Is like - The field contains the supplied string.
  • Is not like - The field does not contain the supplied string.
  • Is - The field matches the supplied string exactly.
  • Is not - The field's content is not the same as the supplied string.
  • Begins with - The field begins with the supplied string.
  • Ends with - The field ends with the supplied string.
  • Is friend - If the sender is on your Friend list.
  • Is foe - If the sender is on your Foe list.
  • Is user - The sender's name matches the supplied string.
  • Is in usergroup - The sender belongs to the specified usergroup.
  • Answered - Whether the message has been replied to.
  • Forwarded - Whether the message has been forwarded.
  • To my default usergroup - Whether the message has been sent to your usergroup. (For most players, this would be registered users, unless changed. Not terribly useful.)
  • To me - Whether a message has been sent directly to you.
The following list shows which conditions are available for each field:

Subject
  • Is like, Is not like, Is, Is not, Begins with, Ends with
Sender
  • Is like, Is not like, Is, Is not, Begins with, Ends with, Is friend, Is foe, Is user, Is in usergroup
Message
  • Is like, Is not like, Is, Is not
Message status
  • Answered, Forwarded
Sent To
  • To my default usergroup, To me

Once a message has been matched, an action can be performed on the message. The available actions are:
  • Place into folder -> X - Places the message into the specified folder.
  • Mark as read - The message is immediately marked as read. Notifications still inform you of a new message, but the message will already be marked as read when you view your Private Message list.
  • Mark message - The message is marked as important and highlighted in your Private Message list.
  • Delete message - The message is deleted instead of being shown. A message will be shown informing you that messages were received and deleted according to your message rules. Messages sent from board administrators and moderators will not be deleted.

This could be useful for your inbox, if you choose to differentiate your inbox from messages sent to your guild (thus coming into your default inbox), to ones sent to your personally.

There's no agreed protocol for players to send their subject matters in a standardised fashion, so it would be difficult to filter out specific key words towards sending lets say a missive, over any other communication. But maybe it could pick out your character names, then have them be put towards different inboxes.

In any case, these are the tools! Make them your own!
